University IT (UIT) will launch the Cvent events management platform in coming months. It offers a flexible, modern, and comprehensive solution for our events community at Stanford.
Not familiar with Cvent? In short, it’s a leading event management platform designed to simplify the entire event lifecycle, from planning and promotion to execution and analysis. Cvent supports in-person, virtual, and hybrid events.
Cvent is now available for Stanford faculty and staff members, with a tiered service rate to allow flexible engagement.
With this service launch, the university community can look forward to more streamlined and engaging event experiences.
Ready, set, go
This Cvent service launch follows a ramp-up process that started in June 2023. As the retirement of Certain (another events platform) was approaching, those users were onboarded to Cvent. The latter part of 2023 involved our UIT teams learning about setup and implementation needs that units, schools, and departments might notice on Cvent.
For several months, the UIT Cvent team has received interest and questions about using Cvent from many across Stanford. Previously, the team prioritized the individuals transitioning off of Certain. Now, we are ready to welcome the rest of the Stanford community to Cvent.
Key features to know
Here are the main things you might want to know about Cvent, whether sharing information with others or for your event needs:
- Intuitive event creation: Cvent's drag-and-drop interface simplifies the event creation process, allowing organizers to design and customize event pages and registration pages easily.
- Comprehensive registration management: Cvent offers a robust registration management system, allowing organizers to create personalized registration forms, manage attendee data, and facilitate smooth check-ins.
- Engaging attendee experience: The platform facilitates interactive and engaging experiences for attendees through features like live polls, surveys, and networking opportunities. Oh, and don’t forget about the mobile app for in-event engagement options.
- Data-driven insights: Cvent provides powerful analytics tools to measure event success, track attendee engagement, and gather valuable insights.
You can learn more on the Cvent service page and the FAQ about specifics for Stanford users. The project team has also set up a detailed training “Event Management (Cvent)” in STARS for onboarding, with step-by-step instructions for using these features.
Note: The UIT Cvent account differs from the Cvent account administered by External Relations, which is exclusively licensed to personnel within that department responsible for coordinating alumni and donor events.
Getting started
Cvent is available at four tier levels, allowing the Stanford community to make the most use of our available licenses and staffing:
- Three of the service level options are for using a Cvent license for all or part of a year.
- One of the service levels is based on working with UIT to create your event in Cvent for you, starting at $200 per event.
Explore these service options on the Cvent rates page.
Onboarding steps include completing both Payment Card Industry (PCI) Awareness Training and the Event Management (Cvent) Training.
