Now Available: Virtual Conference and Event Resource Guide with Vendor Evaluations

Recent findings from a CIO Council sponsored discovery project point to virtual conference and event resources that can help you as you plan for virtual gatherings to ensure the best participant experience for our Stanford community and beyond.

In response to the emerging need to empower Stanford event planners for virtual conferences and events, the Virtual Conference and Event Convening Technology Discovery Project aimed to: 

  • confirm key requirements from campus partners, 
  • evaluate vendor options, and 
  • identify Stanford-wide solutions in order to provide a consistent participant experience across different Stanford events. 

Led by the Business Affairs Improvement, Analytics, and Innovation Services (IAIS) team and funded by the Systems Governance Group (SGG), the discovery project led to this new resource guide that includes a list of the most viable vendors and the team’s evaluation of each.

Due to the rapidly evolving market and exceptionally high enterprise pricing for leading vendors, the IAIS team recommended against the university selecting a single enterprise solution at this time. Instead, by providing a list of the most viable vendors for Stanford, each organization may consider the one that is right for their event. 

“We hope this resource will help guide event planners at Stanford to choose a solution that’s right for their event size, budget, and required features such as accessibility, single sign on, virtual rooms, and a mobile experience,” said Stanford CIO Steve Gallagher. “We will continue to assess the market over the coming year and evolve the guide to bring you the latest information”
