What You Need to Know About the Upcoming Teams Rollout

Teams and other Microsoft 365 collaboration apps, including SharePoint and Planner, will be available to all Stanford University faculty, staff, and students starting July 10, 2023.

Preferred collaboration tools remain

Slack, Zoom, and Google Drive will remain the university’s preferred collaboration platforms. Microsoft Teams is an additional tool for file sharing, chat, and meetings that individuals may choose to use alongside the current tools.

Why Teams?

Teams is part of the Affiliate Collaboration Transformation program, a multi-year initiative aimed at facilitating secure information sharing within the university and health care systems. Stanford Health Care and Stanford Children’s Health employees also have access to the Teams platform. If interested, watch the video Teams for Collaboration in Stanford Medicine to learn more.

Early adoption and the School of Medicine rollout

Some university employees already have access to Microsoft’s collaboration apps. Teams was deployed to a few groups of early adopters in early 2023 and recently rolled out to the School of Medicine on May 15.

Key information about Teams

Here are a few key points to help you navigate the upcoming introduction of Microsoft Teams university-wide.

  • Automatic Teams meeting links in Outlook
After the deployment, some people may see Teams meeting links automatically added to their meeting requests. Those who prefer not to schedule Teams meetings in Outlook can easily disable the setting.
  • Designated Teams admins and Teams teams creation
At the university, only designated Teams admins can create a new team. If departmental groups would like to appoint active Teams users as designated Teams admins, they should submit a Help request. Individuals in the School of Medicine can call Stanford Technology and Digital Solutions (TDS) at 650-725-8000 or submit a request to TDS for help creating a new team.
