Web Forms Service Retirement/Replacement
The forms we are talking about are here: https://uit.stanford.edu/service/webforms. This service will eventually be retired and replaced. Right now there are approximately 1500 web forms live.
The reason it is being retired is because AFS is being retired. All content management and collab tools that depend on it will need to find new homes or replacements. This includes the Web Forms Service.
Timeline
- January 2020: Identify Replacement
- April 2020: No new forms
- July 2020: Retirement of all existing forms?

- Exporting or working with data using spreadsheets
- Sharing form administration with more than one admin
- Receiving a copy of the submission by email
- Sending a receipt to the person who submitted the form
- Protecting the form so only Stanford users can fill it out
- Collecting the SUNetID of the person submitting the form

More Replacement options (suggested from participants in room)
- Stanford eForms. Right not there is limited availability, but there is an intent to make this more widely available. This effort is being led by Student Informations Systems Unit, inside the Office of the Registrar. Contact georgef@stanford.edu for more information.
- Smartsheets. But, you need a license. We don't have an enterprise license. $225 per creator per year (pro-rated)

Questions/Comments
- Can Google Forms be protected/limited to certain groups of people, by department? No. This is a limitation of Google Forms.
- In addition to collecting SUNet ID, is it possible to collect first and last name? It seems redundant to ask them to provide this in addition to SUNet ID. No. But this may be accommodated with another service, like an RSVP form Marco is creating.
- Need to add accessibility to the list of features. eForms is accessible.
- Are you thinking about new California Privacy Laws? Doesn't apply to non-profits, but Google is not a non-profit.
- Is workflow on the radar? Person A fills out something, then Person B fills out something...Smartsheet allows this.
